# Adding a client

Add a client with their contact details, billing address and invoicing email, then add the addresses where you'll do their jobs.

A client is the person or company you work for. Each client has their contact details and a billing address, plus one or more **service addresses** — the places where you do their jobs. Every job belongs to a service address, and through it to the client.

**Plans:** every plan. **Who:** owners/operators and admins (the **Clients** menu). Anyone creating a job can also add a new client from there.

{% hint style="info" %}
**Starting a job for someone new?** You don't have to add them here first. Go to **Jobs** → **New Job**, type their name and click **+ Create New Client** — the client and their job address are created with the job. See [Creating an estimate](/getting-started/creating-an-estimate.md).

## 1. Open Clients and click New Client

Go to **Clients** in the left menu and click **New Client**. (You can also use the **+** Quick add button at the top right and choose **Client**.)

## 2. Fill in the client's details

![The New Client form](https://1775502874-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FT5UmHbQ8yBQgePRusmiv%2Fuploads%2Fgit-blob-c55c6ed8a02ff68a0b788549aec920ef872e6ee6%2Fadding-a-client-02-new-client.png?alt=media)

1. Type the **First name** and **Last name**. **Client name** fills in from them. For a business, type the company name in **Client name** instead.
2. Enter their **Email** and **Phone**. The email is where estimates and other job emails go by default.
3. **Invoicing email** (optional) — if invoices should also go to someone else, such as their bookkeeper, enter that address. It's copied on invoice and statement emails.
4. Enter the client's **Address**, **City**, **Country**, **State** and **Zip**. This is their billing address — where they live or where their office is, not necessarily where the work is.
5. Add any **Notes** for your team.
6. Click **Create client**. The client's page opens.

If a client with a similar name already exists, you'll see **A client with a similar name already exists** under the name, with a link to them. Check it isn't the same person before you carry on. Click the **×** if it's someone different.

![A client with a similar name already exists](https://1775502874-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FT5UmHbQ8yBQgePRusmiv%2Fuploads%2Fgit-blob-cf9808830c61eca8dd853642f6758826e5f521e9%2Fadding-a-client-03-duplicate.png?alt=media)

{% hint style="warning" %}
Type email addresses carefully: no spaces, one @, and a domain such as example.com. If you use QuickBooks, it rejects badly formatted emails.
{% endhint %}

## 3. Check the client's page

The client's page has tabs for **Overview**, **Jobs**, **Service Addresses**, **Invoices** and **Payments**.

![The client's Overview tab](https://1775502874-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FT5UmHbQ8yBQgePRusmiv%2Fuploads%2Fgit-blob-4c98c3e5272c3b38259c0ac021eaebbd6820f58a%2Fadding-a-client-04-client-page.png?alt=media)

* **Edit** changes the contact details or billing address.
* **Invite to portal** emails the client a sign-in to the client portal, where they can see their jobs. It needs a contact email.

## 4. Add a service address

Each place you work for this client is a service address. A client can have as many as you need — a home and a rental property, for example.

1. Open the **Service Addresses** tab and click **New Address**.
2. Fill in the **Street Number**, **Street Name**, **City**, **State** and **Zip**.
3. (Optional) Set the emails for jobs at this address:
   * **Email** — who job emails for this address go to by default. Leave it blank to use the client's email.
   * **Alternate Email** — another address for the same contact. Emails from it are matched to this address too.
   * **CC Emails** — other people involved, separated by commas or semicolons. They're copied when you email a new invoice for a job here.
4. Click **Add address**.

![New Address](https://1775502874-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FT5UmHbQ8yBQgePRusmiv%2Fuploads%2Fgit-blob-e9cacd6d261cb85c9650510a3445a503a0870d34%2Fadding-a-client-05-new-address.png?alt=media)

Each address row on the tab has **New Job** (start a job at that address), **Receive Payment** and **Edit**.

## Common questions

**How do I copy someone on an email?** Add them in **Cc** when you write the email. People in **CC Emails** on the service address are filled in for you when you email a new invoice for a job there.

**What's the difference between Email and Invoicing email?** **Email** is the client's main contact address. **Invoicing email** is copied on invoices and statements — use it for a bookkeeper or accounts department.

**A client has moved on. Can I hide them?** Click **Edit** on their page, turn off **Active** and save. Tick **Only active clients** on the Clients list to hide inactive ones.

**I don't see Clients in the menu.** Clients is for owners/operators and admins. You can still add a new client when you create a job.

**I added a job address to the wrong client.** Open the address with **Edit** and change **Client**. The address — and its jobs — move to that client.
