# Company settings and branding

Set up your company details, put your logo and brand colour on everything you send, and set the standard wording on estimates and work orders.

Your company's details, logo, standard documents and plan all live in **My Company**. What you set here appears on the estimates, invoices and work orders you send, and in the app itself.

**Plans:** every plan. Your logo and brand colour need Lite or above. **Who:** owners/operators and admins. Only an owner/operator can change the plan.

## 1. Open My Company

Click your email address or the person icon at the top right and choose **My Company**.

![The profile menu, with My Company](https://1775502874-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FT5UmHbQ8yBQgePRusmiv%2Fuploads%2Fgit-blob-1d0e34cbc9bc02a530c57a66e310c1133d768961%2Fnavigating-prostruct360-07-profile-menu.png?alt=media)

My Company has eight tabs:

## 2. Check your company info

On **Company Info**, fill in your **Company Name**, contact **First Name** and **Last Name**, **Office Email**, **Office Phone**, address, **Website** and **Default Time Zone**. Click **Save Changes**.

![Company Info](https://1775502874-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FT5UmHbQ8yBQgePRusmiv%2Fuploads%2Fgit-blob-3d52da640f71fa7b788d9a988d1d8c643a862d79%2Fcompany-settings-and-branding-02-company-info.png?alt=media)

* **Operator(s)** lists the people with full access to the company. To add one, choose them in **Choose user...** and click **Make Operator**.
* **Tax ID** is only needed if you want to connect with other ProStruct360 companies as a customer or vendor.

## 3. Add your logo and brand colour

Open **Customization**.

![Company Logo and Brand Color](https://1775502874-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FT5UmHbQ8yBQgePRusmiv%2Fuploads%2Fgit-blob-baf7fd9afe29776ddc1622cc1b3945b9561271fa%2Fcompany-settings-and-branding-03-logo-and-colour.png?alt=media)

1. Click **Upload Logo** and choose your logo (JPG, PNG, WebP or GIF). You'll see **Logo uploaded**.
2. In **Brand Color**, type your colour's code (for example `#0a314a`) or click the box to pick one. The left menu changes as you pick, so you can see how it looks.
3. Check **Preview of the top of a Work Order document**.
4. Click **Save Changes** at the bottom of the page.

The brand colour is used for the left menu and for accents on your work orders, invoices and other documents. Pick a dark colour — it's shown against white, and white text is printed on it.

{% hint style="warning" %}
Your logo isn't saved until you click **Save Changes**. If you leave the page straight after uploading, it's lost.
{% endhint %}

## 4. Set your standard documents and wording

Further down **Customization**:

![Terms & Conditions and the standard texts](https://1775502874-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FT5UmHbQ8yBQgePRusmiv%2Fuploads%2Fgit-blob-f945ceeb6200bc7b4bae39c052c00d1135df7900%2Fcompany-settings-and-branding-04-documents-text.png?alt=media)

* **Terms & Conditions** — upload a PDF. Every new job gets a copy attached as **TermsConditions.pdf**. Jobs you've already created keep the copy they were given. Use **View**, **Replace** or **Remove** to manage it.
* **Estimate Approval Text** — printed above the signature line on all your estimates. Say what the client is agreeing to by signing.
* **Insurance Expired Warning Text** — printed on work orders for vendors whose insurance has expired.
* **Insurance Expiration Approaching Text** — printed on work orders for vendors whose insurance expires in 60 days or less.

Click **Save Changes**.

## The other tabs

* **Vendor Payments** — choose how vendor bills get their due date: **Pay on a fixed weekday**, **Pay a number of days after completion**, **Pay on fixed days of the month**, or no default. A vendor's own payment terms override this. You can also choose who is notified (**Software Task**, **Email** or **Text Message**) when a paper check needs printing. See [Paying vendors](/vendors/paying-vendors.md).
* **Documents** — files in **Company Wide Paperwork** can be attached to emails by everyone on your team. **Insurance** and **Business Documents** are only available to admins and operators.
* **Item Presets** — click **Add New Item Preset** to save a line item you use often. Presets also come from **Save as New Preset** on a job item, and from QuickBooks items you import. See [Creating an estimate](/getting-started/creating-an-estimate.md).
* **Task Types** — click **Add New Task Type** or **Edit**. See [Calendar and tasks](/scheduling/calendar-and-tasks.md).
* **Billing** — your **Billing History**, **Payment Method** (**Update Payment Method**) and **Upcoming Recurring Charges**. **Online Payments (Koppr)** is where you set up card and bank payments from clients — see [Getting paid online](https://github.com/emory-max/prostruct360-help/tree/main/billing/getting-paid-online.md).

## Changing your plan

On **Change Subscription**, each plan lists what it includes. Click **Switch to this plan**, check the charge shown, and confirm. Moving up charges you today; moving down takes effect with no charge today, and you pay the new rate from your next billing date. Paid plans need a payment method on file — if you haven't added one, you're asked to first.

{% hint style="danger" %}
**Moving below Unlimited turns off your other team members.** Everyone except you is deactivated. Moving to the free **Quotes** plan also resets your logo and brand colour. See [Adding team members](/getting-started/adding-team-members.md).
{% endhint %}

## Common questions

**I can't upload a logo or choose a brand colour.** Branding is part of the Lite plan and above. On Quotes, ProStruct360's own logo is used.

**My new terms & conditions aren't on an older job.** Jobs keep the terms they were created with. Upload the new PDF to that job's documents if it needs them.

**Where do I connect QuickBooks?** From the profile menu, choose **Connect To QuickBooks**. See [Connecting QuickBooks](/connections/connecting-quickbooks.md).

**I don't see My Company.** It's for owners/operators and admins.
