# The job timeline

Plan a job's line items on a chart, drag them to reschedule, and publish the changes to your crews' work orders.

The **Job Timeline** tab shows every line item on a chart, grouped by section, so you can see when each piece of work happens. Drag items to move them, review the changes, then publish them — publishing updates the affected crews' work orders.

**Plans:** Complete and up. **Who:** anyone who schedules work. Only owner/operators can change **Working Days**.

Recorded in an earlier version of ProStruct360, so some screens may look different. The written steps below are up to date.

## Before you start

* The job needs line items.
* To move items, the job needs a **Project Manager** and must be **Open Estimate**, **Approved**, **In Progress** or **Invoiced**.

## 1. Find your way around

Open the job and click **Job Timeline**.

![The Job Timeline tab](https://1775502874-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FT5UmHbQ8yBQgePRusmiv%2Fuploads%2Fgit-blob-edf14a9b7ed014f35c2f3c8f0b0aeab985225371%2Fjob-timeline-01-overview.png?alt=media)

* **Date range** (the button showing two dates) — what the chart shows. Set a **Start Date** and **End Date**, or click **Reset to Default** for the whole job.
* **View by Day** / **View by Week** / **View by Month** — zoom in or out.
* **Hide Link Labels** / **Show Link Labels** — the gap, in days, on the arrows between linked items.
* **Show 'Hidden from client' Items** — lines marked **Hide From Client** are left off the chart until you click this.
* **Hide Crews** / **Show Crews** — the crew column beside each item.
* **Sections** — **Manage Sections**, **Collapse All**, **Expand All**.
* **Add New Job Item** — adds a line without leaving the timeline.
* **Full Screen** — uses the whole window for the chart.

## 2. Reschedule items

* **Drag a bar** to move it to new dates.
* **Drag the end of a bar** to make it longer or shorter.
* **Double-click an item** to open **Item Scheduling Detail**. There you can change the name, section, description and **Crew**, set **All Day** or times, **Start** and **End**, and — once a crew is chosen — **Crew Notes** and the work order options (**Itemized pricing**, **Add entry instructions**, **Add contact info**, **CC assigned PM**).
* **Drag an unscheduled item onto the chart** to give it dates.

To make one item wait for another, drag from the end of one bar to the start of the next. Set the **Forced Gap (days)** and click **Update Link**. Double-click an arrow later to change the gap or **Delete Link**. If you then move an item too early, it's pushed back after the one it waits for, and you'll see **"This job item was pushed based on its linked prerequisites' forced gap(s)."**

Nothing is saved yet. The **Publish Pending Changes** button turns green and counts your changes.

## 3. Publish the changes

1. Click **Publish Pending Changes**.
2. Check the list. Old dates and crews are crossed out next to the new ones.
3. Click **Publish Changes**.

![Publish Work Order Changes](https://1775502874-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FT5UmHbQ8yBQgePRusmiv%2Fuploads%2Fgit-blob-e6ee40bb277d218b2e23c8917322393833039fd9%2Fjob-timeline-03-publish.png?alt=media)

Every crew in the list gets an updated work order with all their items on the job, showing the previous dates next to anything that moved. The job then shows **"You have pending work orders that have not been sent"** until you send them from the **Work Orders** tab. See [Work orders](/running-jobs/work-orders.md).

{% hint style="warning" %}
Moving one item can move others: items linked to it, and items that land on non-working days. Check the whole list before you publish.
{% endhint %}

{% hint style="danger" %}
Unpublished changes are lost if you leave the tab or the page. ProStruct360 asks first, but if you choose to leave, they're gone.
{% endhint %}

## 4. Print or export the timeline

Both buttons are greyed out while you have unpublished changes.

* **Export Calendar** — prints what's on screen, using your browser's print window.
* **Export Timeline** — makes a PDF of the **whole** timeline, from the first item to the last, whatever date range you're viewing. A preview opens with **Download** and **Save to Documents** (adds the PDF to the job's **Documents** tab).

{% hint style="info" %}
Click **Hide Crews** before exporting to leave crew names off a schedule you're sharing with a client.
{% endhint %}

## 5. Set working days (owner/operators)

**Working Days** sets which days your team works, for **all** jobs.

1. Click **Working Days**.
2. Tick **Enable working days on timeline**.
3. Under **Weekly Schedule**, untick days you don't work.
4. Under **Holidays**, add a **Holiday Name** and **Date** and click **Add**, or click **Import Federal Holidays**.
5. Click **Save Changes**.

![Working Days](https://1775502874-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FT5UmHbQ8yBQgePRusmiv%2Fuploads%2Fgit-blob-4bb57429f549175e479ccaf91fb60d1ca7b94d6f%2Fjob-timeline-04-working-days.png?alt=media)

Non-working days are shaded on the chart, and moving an item stretches it over them. Work already scheduled isn't changed — so set your days and holidays well ahead.

## Common questions

**I can't drag anything.** The job has no project manager, or its status isn't Open Estimate, Approved, In Progress or Invoiced.

**I don't see Working Days.** Only owner/operators can change it.

**The export includes dates I didn't select.** **Export Timeline** always covers the whole job. To share part of it, set the date range and use **Export Calendar** instead.
