# Material purchases

See what you've spent on materials for a job, brought in from QuickBooks or added by hand.

The job's **Materials** tab lists what you've spent on materials for the job: each purchase's amount, date, description, type and who you paid. If you use QuickBooks, purchases you record there against the job appear here on their own. If you don't, you can add them by hand.

What's listed here is what ProStruct360 counts as **Materials** spent on the job's **Job Information** tab.

**Plans:** Lite and up. Bringing purchases in from QuickBooks needs Complete or Unlimited (the QuickBooks connection). **Who:** your team.

## 1. With QuickBooks: record purchases in QuickBooks

If QuickBooks is connected, record material purchases in QuickBooks as you normally would, and tie each line to the job's customer. ProStruct360 brings them onto the job for you.

* What comes in: QuickBooks **Expenses**, **Checks** and **Credit Card Credits**. Each line becomes one row.
* How it finds the job: ProStruct360 sets up each job address in QuickBooks as a sub-customer of the client, named like "*Street name* - *Number*". Choose that sub-customer on the expense line, and the purchase lands on the open job at that address.
* Changes follow: edit, void or delete the purchase in QuickBooks and the row here updates or disappears.

Rows from QuickBooks open read-only, with **"This expense was synced from QuickBooks and must be edited there."**

{% hint style="warning" %}
Don't type a QuickBooks purchase in here as well. It would be counted twice, and the job's materials spent and profit would be wrong. If you use QuickBooks, record purchases there only.
{% endhint %}

## 2. Without QuickBooks: add a purchase by hand

1. Open the job and go to **Materials**.
2. Click **Add material**.
3. Fill in **Item name**, **Transaction date** and **Amount**, and the **Payee name** if you like.
4. Click **Add material**.

Purchases you add by hand show **Materials** under **Type**. Click one to change it, or to **Delete** it.

## Common questions

**A purchase I entered in QuickBooks isn't showing.** Check that the expense line's customer is the job's address (the sub-customer), not just the client. QuickBooks Bills don't come in here — only Expenses, Checks and Credit Card Credits.

**The purchase went onto the wrong job.** If a client has more than one open job at the same address, the purchase goes to the one updated most recently. It stays on that job afterwards.

**Is this the same as the materials on a line item?** No. The materials cost on a line item is your estimate. This tab is what you actually spent. **Projected Profit** on **Job Information** uses whichever of the two is larger.
