Calendar Overview

Welcome to the ProStruct360 Calendar. This tool gives you a centralized view of your jobs, crews, and internal tasks, helping you manage schedules efficiently and stay ahead of deadlines.

Accessing the Calendar

From the left-hand navigation menu, click Calendar.

This opens your scheduling workspace, where you can view and manage:

  • Job schedules

  • Crew assignments

  • Internal tasks

  • Saved reporting views

Calendar Navigation Controls

Across the top of the Calendar, you’ll find tools that allow you to customize your view.

Date Navigation

Use the arrows to move forward or backward in time.

The Date Preset dropdown allows you to quickly jump to:

  • Today

  • This Week

  • This Month

You can also manually select a custom date range for more specific review.

Using Filters

Filters allow you to narrow your calendar view based on your needs.

You can filter by:

  • Jobs

  • Crews

  • Vendors

  • Task Types

  • Project Managers

Filters are especially useful for Project Managers overseeing multiple active jobs.

Saving Calendar Reports

Once you’ve customized your filters and date range, you can save the configuration.

Click Save Calendar Report, enter a name, and save.

Saved reports allow you to:

  • Quickly return to recurring views

  • Create job-specific or PM-specific dashboards

  • Prepare investor or owner reports

Switch between saved reports anytime using the dropdown.

Viewing the Calendar by Job

Selecting View By Job groups the schedule by project.

Each job is automatically assigned a color for easy visual reference.

You can customize job colors by:

  1. Clicking the job

  2. Selecting the client name

  3. Scrolling to the color selector

  4. Choosing a new color

Many companies use consistent colors by client or project type for clarity.

You can also click the underlined address to navigate directly to the job details page.

Viewing the Calendar by Crew

Selecting View By Crew groups the calendar by vendor or crew.

Each schedule block displays:

  • Vendor name

  • Company name

  • Project address

  • Assigned scope of work

If multiple line items share the same start and end time, a “+1” or “+2” indicator will appear.

Separate blocks will appear when start or end times differ.

Crew colors are auto-assigned but can be customized. Many companies organize colors by trade for easier visual scanning.

Viewing the Calendar by Task

Selecting View By Task displays internal tasks.

In Week View:

  • All-day tasks span the full day

  • Timed tasks appear within specific time blocks

This view helps you track internal planning, follow-ups, and operational work.

Creating and Managing Tasks

To create a task:

  1. Click and drag on a time slot

  2. Complete the New Task pop-up

  3. Assign a task type and team member

  4. Click Save

Tasks appear immediately on both the Calendar and your Dashboard.

Task Types and Organization

Under My Company → Task Types, you can create and manage task categories.

Assign names and colors to organize tasks effectively.

Best Practice:

Create a red “Reactive” task type to track time spent responding to unexpected issues. This helps identify operational inefficiencies over time.

Marking Tasks Complete

To complete a task:

  1. Open the task

  2. Click Mark Complete

Completed tasks appear struck through and lighter in color.

You can revert tasks to incomplete if needed.
